Enquiries and applications
Retention should reflect the status of the enquiry or application, any continuing discussion, and the need to keep a proportionate business record. Unsuccessful applications should not automatically become indefinite expert-network records.
Client and research records
A project agreement and study-specific information sheet should state the applicable retention arrangement, including any contractual, funder or legal obligations. Identifiers should be separated from research data where the study design allows it.
Attachments, logs and backups
Quarantined attachments, operational logs and backups require their own limited retention arrangements. A file awaiting a security check must not become an indefinite archive. A deletion decision must account for active copies and the controlled expiry of backup copies.
Ask about your record
Email info@iderafrica.com to ask about the applicable retention period or request deletion. We will explain any lawful reason that prevents immediate deletion.
Website operational schedule
Optional measurement events are retained for 90 days. Within IDER’s website database, sent or suppressed newsletter message bodies, associated recipient-address copies and plaintext links are removed after 90 days; accepted transactional-notification recipient copies are also removed after 90 days. This application schedule does not delete messages from recipients’ mailboxes or set the hosting provider’s mail-log retention. Minimal delivery identifiers and hashed unsubscribe tokens remain to prevent duplicate issues and honour older unsubscribe links; unsubscribe status prevents unrequested re-enrolment. Confirmation links expire after seven days. Operational run logs expire after 365 days. Encrypted automatic backups expire after 30 days. These periods are enforced when maintenance runs through website activity or a configured scheduler.
Enquiries, applications, contractual records and research files require a retention review based on their status and applicable obligations. They are not automatically deleted on an arbitrary deadline. Contact the Executive Director at info@iderafrica.com for access, correction or deletion requests.
